Accomsure complies with the Personal Information Protection and Electronic Documents Act (PIPEDA), Quebec’s Act Respecting the Protection of Personal Information in the Private Sector (Law 25), and all other applicable Canadian privacy laws.

We collect and process personal information about you with appropriate consent and as necessary to provide our services. Personal information may be collected from:

a. Your insurance company

To initiate, coordinate, or manage your temporary housing placement.

b. Direct interactions with you

Household occupants
Vehicle or property descriptions
Any information you voluntarily provide during communications with us

c. Third parties involved in your claim or placement

Including insurance adjusters, agents, home contractors, landlords, and hotels.

Information is collected with your consent or, where permitted by law, from parties legally authorized to share it.

2. Use of Personal Information

We use your personal information to:

Provide and manage temporary housing services
Communicate with you and verify your identity
Confirm property-related information
Determine suitability and eligibility for accommodations
Enhance, administer, and operate our services
Comply with legal and regulatory requirements
Support secure external processing

We may also use information to improve your overall customer experience.

3. Disclosure of Personal Information

As required to complete our duties or required by law, we may disclose your information to:

Contractors, service providers, vendors, and partners assisting in housing placements
Insurance companies, adjusters, and agents supporting your claim
Third-party service providers performing functions on our behalf

All service providers are contractually required to protect your personal information in accordance with Canadian privacy laws.

4. International Transfers & Service Providers

Accomsure primarily stores and processes personal information in Canada.

However, certain service providers, including Microsoft and HubSpot may store or process personal information on servers located outside Canada (including the United States).

When personal information is processed outside Canada, it may be subject to the laws of that jurisdiction.

Accomsure ensures that all service providers implement contractual safeguards, including:

Confidentiality obligations
Restrictions on use of the data
Security standards comparable to Canadian requirements
Breach-notification obligations
Data deletion or return upon request

These protections are contained in the service providers’ Data Protection Addendums (DPAs), which are binding agreements under applicable law and meet Canadian and Quebec Law 25 requirements.

For Quebec residents, any cross-border transfer of personal information is subject to a Privacy Impact Assessment (PIA) and contractual measures ensuring adequate protection, as required by Law 25.

We retain personal information according to defined retention periods based on:

Personal information is retained in accordance with our internal retention schedule, which sets timelines based on legal, regulatory, and business requirements.

7. Quebec Residents – Additional Rights

In accordance with Quebec Law 25:

If a confidentiality incident presents a risk of serious injury, we will notify the Commission d’accès à l’information (CAI) and affected individuals.
We maintain a confidentiality-incident register.
We perform privacy impact assessments (PIAs) for any system or project involving sensitive information or cross-border transfers.
Our Privacy Officer oversees all compliance and governance activities.

8. SMS Communications

We collect and use your phone number solely to send updates related to your temporary housing placement and to respond to any SMS messages you send to us. SMS content is confidential and will not be sold or shared with third parties, except where required by law.

Receiving SMS messages is optional and not required to access our services. You may opt out of SMS communications at any time by replying “STOP”. If you wish to resume receiving messages, reply “START”.

9. Website and Cookies

Our website may use analytics tools to better understand how visitors interact with our site and to improve our services. These tools may collect information such as:

IP address
Browser type
Pages visited
Duration of visits
General device or usage data

This information is used only for aggregate statistical analysis and does not personally identify you.
